Doc Control & Project Support Specialist

Coordinate project documentation and administrative project support

As a Doc Control & Project Support Specialist, you will coordinate document management, project reporting, SharePoint administration and project support activities while working closely with project teams and customers. Ensure quality, compliance and project documentation delivery

In this role, you will support project teams with document control, project administration and reporting activities. You will help ensure that project and bid documentation is accurate, compliant with contractual requirements and delivered on time. Working across multiple stakeholders, you will maintain document management systems, coordinate documentation processes and support project managers with a range of organisational and administrative tasks.

Your responsibility will be to:

  • Coordinate and maintain project and bid documentation according to contractual requirements
  • Manage document registers, documentation schedules and document filing structures
  • Prepare, review and monitor project documentation before submission to customers and partners
  • Create and administer SharePoint project sites, access rights and communication platforms
  • Support project reporting, analyses, presentations, risk register follow-up and administrative activities

The position is based in Cologne, Germany, reporting to the Head of Project Support / Document Control. Collaboration with project teams, customers and external partners is an important part of the role.

You are a structured and reliable person who enjoys coordinating information and working with different stakeholders. You communicate clearly, take ownership of your tasks and have a careful approach to quality and accuracy. You are comfortable managing multiple activities simultaneously and contribute positively to a collaborative team environment. A proactive mindset and an interest in improving processes will help you thrive in this position.

You also have:

  • Completed vocational education in a recognised profession
  • 1–3 years of relevant professional experience
  • Experience with document control and project documentation processes
  • Experience working with SharePoint and document management systems
  • Experience supporting project reporting, analyses and administrative project activities
  • Experience within project management or PMO environments is considered an advantage
